Event Videography Checklist for Conferences and Openings

A practical checklist for planning event videography coverage at conferences, launches, and corporate openings.

Quick answer

Good event videography coverage depends on planning shot priorities in advance, since events cannot be reshot. The key steps are confirming a run sheet with timing, identifying must capture moments, briefing the crew on key speakers or VIPs, and agreeing on turnaround time for edited highlights.

Before the event

Get the run sheet early

A detailed run sheet with session timing lets the crew plan coverage around keynote speeches, panel discussions, and key moments rather than trying to capture everything equally. See our guide on how to brief a video production company for what to include.

Identify must capture moments

Flag anything that absolutely cannot be missed, such as a keynote address, a ribbon cutting moment, or a specific VIP interaction. These become the non negotiable priorities if the crew has to choose between competing moments happening at once.

Confirm crew size for the venue

Larger conferences with multiple concurrent sessions usually need more than one camera operator to cover everything live. A single camera crew works well for smaller launches or openings.

On the day

  • Arrive early enough to test audio feeds and lighting before guests arrive
  • Coordinate with the event's AV team on any live streaming or audio patch requirements
  • Capture candid crowd and atmosphere shots between scheduled sessions, not just the formal program

After the event

Agree on turnaround expectations before the event, since same day or next day highlight reels are often expected for conferences and launches while a full event recap can take longer, as covered in our guide to corporate video production timelines. Delivering a fast highlight cut while the event is still front of mind tends to get significantly more engagement than a polished recap released weeks later.
